Payment terms for a first wholesale suit order should be confirmed before production starts. A buyer may focus on unit price, but the supplier and buyer also need to agree how the deposit, balance payment, inspection proof, invoice records, and shipment release will work.

For menswear retailers, boutique buyers, Amazon sellers, importers, and sourcing partners, payment planning is part of supplier control. Clear records reduce avoidable disputes and make the first order easier to repeat.

1. Separate payment terms from the unit price

A product quotation should state what the price covers, but payment terms decide when money is paid and what proof supports each step. Buyers should ask whether the quotation assumes a deposit, balance before shipment, sample payment, or another structure.

The payment discussion should also identify trade terms, currency, invoice information, fee responsibility, and the documents required before production or shipment release.

2. Confirm deposit and balance timing

For a first order, a common B2B structure is a deposit after order confirmation and balance before shipment release. The exact terms should match the order value, production risk, sample approval status, and payment method.

When the order includes custom fabric, colours, labels, packaging, or private-label development, the payment structure should be confirmed before material purchase or bulk production begins.

3. Use inspection proof before shipment release

Before the balance is paid, both sides should know what evidence will be provided. Useful records may include finished-goods photos, measurement checks, workmanship photos, packing list, carton marks, QC notes, and shipping documents.

This does not replace the commercial agreement, but it gives the buyer and supplier a shared reference before goods leave the factory or warehouse.

4. Check PayPal, bank transfer, and fee responsibility

If PayPal or bank transfer is used, confirm transaction type, account name, fee responsibility, currency, invoice details, and document requirements before payment. The buyer should avoid changing the beneficiary or payment channel through informal messages after the order is confirmed.

For first cooperation, keeping the same company name, quotation record, invoice record, and communication channel is especially important.

5. Keep the order file consistent

The quotation entity, invoice entity, payment beneficiary, contract or purchase-order record, and shipment documents should match. This protects both sides and makes the first wholesale order easier to review if there are questions later.
